ARENA HIRE – TERMS & CONDITIONS
AT THE POINT OF BOOKING THE HIRER MUST AGREE TO THE TERMS AND CONDITIONS OUTLINED BELOW…
CONDITIONS FOR USE OF EQUESTRIAN FACILITIES
No Bicton Arena Employees are available during the day of hire and accordingly all those who wish to school their horses/ponies do so entirely at their own risk.
RULES
If you arrive and you are unhappy with how the previous occupant has left the Arena, please let us know at the beginning of the session.
1. Please remove all droppings.
2. Absolutely NO coloured poles to be put on the ground.
3. Please leave the course at around 1.00m after use with any fillers put back in their original position.
4. Any falls, damages or breakages must be reported, for safety reasons.
STRICTLY NO COLOURED POLES TO BE PLACED ON THE GROUND, USED AS PLACE POLES, GUIDELINES, A-FRAMES ETC
All the above will incur a £5 charge per rule break.
Withdrawals/Refunds
Refunds will only be given if we are given a minimum of 48 hours’ notice.
All cancellations will incur a £5 admin fee, booking fees are non-refundable.
TERMS & CONDITIONS
1. Bicton Arena, its employees, agents servants and all those connected with the equestrian facilities do not accept any liability for any damage, whether occasioned by the negligence or breach of contract or statutory duty for themselves, their servants, agents, employees or those connected with the equestrian facilities or otherwise howsoever.
2. It is an express condition of every person entering upon the equestrian facilities that he/she agrees, and if he/she is under 18 years of age, his/her parents or accompanying adult also agree, that he/she does so at his/her own risk and voluntarily accepts the risk of injury or damage that is implicit in riding a horse on these premises.
3. In the unlikely situation that Photographs and videos are taken at Bicton during your hire period… they will be done so by a professional, licenced and insured photographer/videographer who has been approved and accredited by Bicton. Bicton reserve the right to use these photographs and videos for advertising purposes to promote the facilities.
No other photographers or videographers are permitted to photograph or film at Bicton without accreditation from Bicton, this includes Private Hire.

4. All hirers are advised to check the arena before entering to ensure that it has been left in a safe condition by the previous occupant, this includes distances between poles / combinations / grids etc.
5. INSURANCE: all instructors using Bicton Arena’s facilities must have their own insurance cover for providing tuition, please email details to gemma@bicton.com before your hire commences.
6. It is always mandatory for all riders to wear a protective helmet of current British standard while mounted on Bicton Arena’s property. Body protectors of current BETA approved level are advised and are mandatory when hiring the XC Course / Arena XC. Suitable footwear with heels must be worn when mounted.
7. Due to circumstances beyond Bicton Arena’s control, it may be necessary to change or cancel your booking. Where the change is considered major as decided by Bicton Arena you will be offered the option to accept the change or to receive a full refund of any monies paid against the booking.
Bicton Arena will not be responsible for any other costs, expenses or damages which may have been incurred by the client or their guest as a result of the change.
8. Monetary refunds or credit will be issued for cancellations due to weather conditions which result in the facility being deemed unfit for use i.e., snow, dense fog, ice or excessive wind speeds and an Amber weather warning being issued by the Met Office.
9. Any cancellations made within 48 hours of the hire slot booked will not be entitled to any sort of refund. If the Hire is cancelled before this point a refund will be given minus a £5 admin fee (booking fees are non-refundable)
10. The hirer may ONLY access the following areas: Arena in which has been hired, the walkway to get there, the lorry park and toilet facilities. Any stable area, hook up area, marquee and workshop are strictly out of bounds, please keep off of all grass areas / Arenas / verges on your way to / from the Arena.
11. Strictly no smoking in the arena.
12. All clients and their guests and customers are required to adhere to commonly accepted standards of decency and good behaviour. Racial abuse, discrimination, swearing and loud or aggressive conduct will not be tolerated. We reserve the right to ask any person on the premises to leave immediately. We reserve the right to refuse admission to any person without giving reason.
13. Litter is to be taken home with you or disposed of in bins provided.
14. No lungeing in any of the arenas.
15. Please do not muck out your transportation onto the lorry park, fields or hedge lines.
16. Children under 18 must be supervised at all times.
17. The hirer is responsible for any damage caused to the premises or equipment and must pay the total amount required to make good any such damage.
18. Please poo pick during/after your hire.
19. Dogs must be kept on leads, always picked up after & under appropriate control.
20. Please report all accidents or damage to BA staff immediately online – click the link below.
I have read the conditions and agree to be bound by and observe them and to absolve Bicton Arena and anyone else connected with the Equestrian Facilities, for any injury or damage that I may suffer on these premises.
